Wedding Invitation 101: Invitation Addressing and Mailing / Fine Day Press for Oh So Beautiful Paper

Hi guys, Ashley from Fine Day Press here. We’ve finally come to the last post in our Invitation 101 series. Thank you for reading and learning along with me! Today’s post covers the last steps in getting your invitations out the door: invitation addressing and mailing.

Addressing and Mailing

You’ve spent countless hours picking out just the right invitation suite, and possibly months agonizing over every little detail from the wording to the printing. Take a few moments to plan using our invitation addressing and mailing tips below; I promise it will be well worth the effort!

Plan Ahead

First, leave some time to gather and organize your address list. You’ll want to provide your stationer (or calligrapher, or printer) with a clear, detailed list of names and addresses that includes appropriate titles like “Mr. & Mrs.” or “Dr.”  It’s commonplace to spell out in full the address line and state, for example, “123 Smith Street; New York, New York 10010”.  Additionally, if children under 18 are invited to the wedding, list their names individually on the line following the parents’ names — unless you are using inner envelopes (increasingly rare these days), in which case the names of any children should be listed here and not on the outside. Adult children should receive their own invitation.

Secondly, make sure you have extra envelopes in case of any addressing errors. About 10% over is a good rule of thumb, and many stationers (including Fine Day Press) will automatically include some extras with your order. If using a calligrapher, be sure to ask if more than that are needed. You’ll also want a few extra invitations on hand for last-minute guests, and just in case one gets lost in the mail (it happens).

Methods of Addressing

Traditionally, invitations are hand-addressed, usually by a professional calligrapher. There’s nothing quite like receiving a calligraphed envelope in your mailbox, and it’s most definitely high up on my happy list. And if it‘s in your budget, go for it! Check with your calligrapher to confirm how much time they’ll need to address your envelopes, but at minimum you’ll want to factor around 2-3 weeks for envelope calligraphy into your invitation mailing timeline.

If you are hand-addressing the envelopes yourself, a great option for the return address is to have a custom stamp created. We‘ve created many of these for our clients over the years. Provided you aren’t moving right after the wedding, the stamp can be used again on thank you notes, holiday cards, and other future mailings. Alternately, with the convenience and quality of digital printing, many stationers will print guest addresses directly onto the envelopes. You can even choose a calligraphy-style font.

Adding Postage

Note the size of your invitation and compare it to the post office standard sizes. Square invitations require extra postage; the same goes for double-thick stock. If you’ve got extras like a reception card, list of wedding events, map and directions card, ribbons, bows, bells or whistles, that can push your overall weight up beyond the first class stamp zone. You’ll want to take a complete envelope suite to the post office for weighing. They can tell you the exact postage amount you’ll need, and help you find a stamp (or stamps) to match. Don’t forget to take into account any international guests. When addressing, put these in a separate pile and have the post office determine the correct postage for each.

Beautiful postage is the last thoughtful touch to complete your invitation. USPS has definitely stepped up their stamp design game in the last few years, so you can easily achieve a beautiful envelope just by browsing the available stamp selections online. The post office also usually has a few different love-themed options, like these Louise Fili stunners. Custom stamps can be created to match your invitation design (for example, via zazzle.com), from personalized stamps with a custom monogram to vintage-inspired designs. Vintage postage is a beautiful detail for wedding invitation envelopes, but can be difficult to find and sometimes costs more than the face value of the stamp – you can read all about finding vintage postage here. And remember that your reply envelopes will also need a first class stamp – don’t leave your guests hunting for postage to send their reply.

Let ‘em fly

You’ve done your homework. Time to send those beautiful babies out into the world, and wait for the excitement that follows!

One last pro tip: Request hand-canceling. There can be an extra charge for this beyond 50 pieces, but it’s worth it to not have that bummer of a barcode printed along the bottom of all of your gorgeous envelopes.

Brush Lettered Gold and Navy Wedding Invitations

Happy Monday everyone! Let’s start the week off right with some gorgeous wedding invitations! It can be so hard to find a balance between elegant and semi-formal yet fun and beachy in a wedding invitation. Alex of Goodheart Design really hit the nail on the head with these brush lettered gold and navy wedding invitations! This invitation suite features Alex’s signature brush lettering, shiny gold foil against deep navy paper, and a surprise tropical pattern!

From Alex: This is definitely one of my favorite wedding invitation suites so far! This was my first time using this navy and coral color palette and experimenting with patterns – so it was fun trying to figure out how to make it all flow together in a beautiful way. I think gold foil is super classy, so pairing it with fun vibrant colors and patterns makes it feel a little more relaxed but still very nice.

The bride and groom were married at a beautiful villa by the beach in southern California. They had a very specific color scheme they wanted to stick to: navy, coral, peach, and gold. They wanted a semi-formal and elegant invitation with a fun beachy vibe.

We decided to keep the design simple with a modern sans serif font and brush lettering emphasizing their names. To bring in the fun factor, as well as the navy and coral color scheme, we had each piece printed on a different colored paper. To help incorporate the beachy vibe we printed a navy blue watercolor illustrated tropical leaf pattern on the back of the main invitation.

All three pieces were printed by Czar Press. The main invitation features gold foil on 110# navy paper that was duplexed to 110# white paper with the digitally printed tropical leaf pattern. The RSVP was digitally printed with navy text on 110# coral paper and the details card was also digitally printed with navy text on #110 blush paper. We wanted to keep the watercolor look throughout all the pieces, which is why most of the pieces were digitally printed. The envelopes were an orangey/coral color from Paper Source and were all hand addressed by me.

Tropical Seafoam and Gold Foil Save The Dates

Today’s tropical seafoam and gold foil save the dates were inspired by the destination wedding’s seaside venue of sunny Cabo San Lucas, Mexico! Designed by Clara of Goldie Design Co., this save the date combines traditional and elegant design elements with a beach-inspired color palette and plenty of shiny gold foil. So pretty!

From Clara: When designing this custom save the date, the bride wanted to incorporate the fun Cabo destination wedding vibe while keeping it very traditional and elegant. By using a beach-inspired color palette of teals and blues, along with pops of blush pink and gold, and gorgeous engagement photos taken at the beach where the wedding will take place, the guests are sure to get a good feel for this destination wedding!

The outer envelope is covered in beautiful navy blue calligraphy for the address, paired with beach-inspired vintage stamps – always a must! One of my favorite things about this navy blue ink is the way it has that flowing gradient effect throughout the letterforms. Upon opening the envelope, guests will find a seafoam green enclosure wrapped in a custom belly band. This belly band features a geometric pattern inspired by Mexican tiles found throughout the architecture of this destination, and topped off with a custom wedding monogram.

When opening the enclosure, you will first see the custom calligraphy save the date card printed in gold foil front and center. The design of this card was kept very simple so that the eye wasn’t pulled to one part of the enclosure only – the entire invitation flowed together in perfect beachy unison! The pocket to the right holds the gold foil printed accommodations card and an accordion style card with several of the couple’s engagement photos.

The bride had so many favorite engagement photos (I don’t blame her – I mean look at that beach!) that she asked me to design a creative way to display several of the images in addition to the one in the enclosure oval slot! So, this accordion card is what we ended up with, and it was a perfect little unique touch, especially with the wedding hashtag displayed on the back of the card!

Modern Gemstone Copper Foil Wedding Invitations

Happy Tuesday everyone! I hope you all had a wonderful and restful three day weekend! From Meghan: We had so much fun working with Negin and Dan on their gorgeous Los Angeles wedding. Our theme was “modern chic” and the wedding color palette included deep plums, slate gray, navy/dark blue, and soft neutrals with copper accents. For their wedding invitations, we spun off of our watercolor gem wedding invitation suite with a different lettering style, updated color scheme and copper foil stamping.

When an interior designer and an architect get together, you know you’re in for a beautiful and well-planned event; but we hit the jackpot with this couple’s killer sense of humor. We got to insert all kinds of fun little drawings into their wedding paper like a tiny illustration of Lionel Richie, a pile of doughnuts, and the priest from The Princess Bride.

We then extended the styles through the day-of paper, including table numbers, dinner menus, a seating chart for the wedding reception, place cards, and wedding reception signage.
